Frequently Asked Questions

Comprehensive answers to the most common questions about our services, process, and approach to Saudi government bid management.

About NextBid

What does NextBid do?
NextBid is a specialist bid and proposal management consultancy based in Saudi Arabia. We support companies competing for government and private sector contracts by preparing fully compliant, high-quality technical and commercial proposals. We also write RFP documents for government entities that need to issue structured procurement packages.
Who are your typical clients?
Most of our clients are Saudi SMEs that have the capability to deliver on a contract but lack a dedicated in-house bid team. They range across sectors including construction, IT services, facilities management, consulting, healthcare, and logistics. What they share is a need for professionally prepared, compliant submissions.
Is NextBid a registered company in Saudi Arabia?
Yes. NextBid Solutions is a registered entity in the Kingdom of Saudi Arabia, with operations focused on the domestic government and private sector procurement market.
How is NextBid different from a freelance bid writer?
A consultancy provides consistency, accountability, and a structured process. We bring a team approach to each engagement — rather than a single writer — covering strategy, writing, compliance review, and formatting. We also stand behind our work with a written warranty.

Technical Proposals

What does a technical proposal from NextBid include?
A standard technical proposal includes an executive summary, detailed technical methodology, implementation plan with timeline, team and qualifications section, past performance references, and all mandatory declarations and forms required by the tender. Each proposal is structured to align directly with the evaluation criteria in the RFP.
Do you write proposals in Arabic?
Yes. We produce technical proposals in Arabic, English, or both languages depending on what the tender requires. Our Arabic proposal writing is produced to a professional standard and reviewed for both language quality and technical accuracy — it is not machine-translated.
How do you ensure the proposal aligns with our company's capabilities?
At the start of each engagement, we collect your company profile, past project information, team CVs, certifications, and any relevant technical documentation. We use this to accurately reflect your capabilities in the proposal — not generic claims. The more detailed your inputs, the more precise and compelling the output.
Can you handle proposals for any sector?
We work across a broad range of sectors including information technology, construction and engineering, facilities management, healthcare services, consulting and advisory, logistics, and more. Our approach adapts to the specific evaluation criteria and technical expectations of each sector.
What if we have already started writing the proposal internally?
We can take over a partially drafted proposal and complete it, or review and strengthen what you have already written. We assess the gap between the current draft and full compliance, then work from that point forward.

Commercial Proposals

Who determines the pricing in the commercial proposal?
You do — entirely. We do not advise on pricing strategy, suggest what rates to charge, or recommend specific figures. Your cost structure, margins, and commercial terms are your decision alone. Our role is to take the pricing data you provide and produce a complete, properly formatted commercial document that meets all submission requirements.
Why won't NextBid advise on pricing?
Pricing strategy is a business decision that depends on your cost base, capacity, risk appetite, and market position — information only you hold. Providing pricing advice without that full picture would be irresponsible. Our expertise is in compliance, structure, and presentation — not in your internal financials.
What does the commercial proposal document actually include?
The commercial proposal is a fully formatted, compliant document that presents your pricing clearly and professionally. It typically includes a properly labelled cover, any required BOQ (Bill of Quantities) structured per tender instructions, financial declarations, commercial terms aligned with the tender conditions, and all mandatory forms. We ensure nothing is missing that could disqualify the submission.
Do you handle BOQs (Bills of Quantities)?
Yes. When a tender requires a structured BOQ, we format and organise the document to match the required layout. You supply the unit rates and quantities; we handle the structure, formatting, and completeness check to ensure it meets the tender specifications.

Process & Timelines

What is the typical turnaround time for a proposal?
For most standard government tenders, we require five to ten working days from the date we receive the complete RFP package and all required client materials. Complex tenders with large technical scope or multiple volumes may require additional time. For urgent submissions, we assess feasibility case by case.
What do you need from us to get started?
To begin, we need the complete tender package including all addenda and clarifications, your company profile and credentials, relevant certifications and past performance references, team CVs, and — for the commercial component — your pricing data and commercial terms. The earlier you engage us in the tender timeline, the stronger the result.
How much of our time does this require?
We are designed to minimise the burden on your team. After an initial briefing call and the handover of your documents, we manage the full process. We will ask for specific information at defined points, but we do not require ongoing daily involvement from your side.
What happens after submission?
After submission, we provide a post-bid summary documenting what was submitted, when, and through which channel. If you receive an evaluation result — whether a win or a loss — we can help analyse the outcome, understand scoring feedback, and apply lessons to future bids.
Can you handle last-minute submissions?
We handle urgent engagements on a case-by-case basis. Quality cannot be fully maintained under extreme time pressure, and a poorly prepared bid is rarely better than no bid. We will be direct about whether the timeline is viable before committing.

Etimad & Saudi Procurement

Do you work with Etimad submissions?
Yes. We are familiar with the document standards, formatting requirements, and submission procedures on the Etimad platform (اعتماد), which is the primary government procurement portal in Saudi Arabia. We prepare all documents to meet Etimad specifications and support the portal submission process.
Which other procurement platforms do you support?
In addition to Etimad, we support submissions through other Saudi government portals and private sector procurement systems. If a platform has specific document requirements or submission formats, we account for those in our preparation process.
How do you ensure compliance with Saudi procurement regulations?
Our team monitors the requirements published on official government procurement platforms, including Etimad, and applies these standards to every submission. Compliance is not an afterthought — it is built into our process from the first day of each engagement.

Quality & Guarantee

What is the NextBid Golden Warranty?
If a proposal we prepare is technically disqualified due to a compliance failure on our part, we will deliver your next proposal at no charge. This is a contractual commitment, not a marketing phrase. It applies when disqualification is attributable to a compliance error in our work — not to changes in client information, late-provided materials, or instructions given after delivery.
How do you review proposals for compliance before submission?
Every proposal goes through a structured pre-submission compliance check against the original tender requirements. This includes verifying all mandatory forms, attachments, signatures, document formats, page limits, and labelling requirements. We use a compliance matrix tied directly to the tender document, and we do not submit until that checklist is complete.
Can you guarantee we will win?
No. Winning a tender depends on a range of factors including your pricing, competition, evaluation committee decisions, and procurement dynamics that are outside any consultant's control. What we guarantee is a fully compliant, professionally prepared submission that gives you the strongest possible representation in the evaluation process.
Is our information kept confidential?
Yes. All client information, including company data, financials, pricing, technical documents, and project details, is treated with strict confidentiality. We do not share client materials with any third party, and we are willing to execute a non-disclosure agreement before the engagement begins.
